This Privacy Policy explains how Bookello.life Ltd (“Bookello”, “we”, “our”, or “us”) collects, uses, stores, shares, and protects personal and business information when you access or use Bookello Pulse, our QR-based ordering, payment, and venue management platform. By creating an account, scanning a QR code, placing an order, registering as a Vendor, making a payment, or otherwise using Bookello Pulse, you agree to this Privacy Policy.

1. About Bookello Pulse

Bookello Pulse is a digital ordering, payment, and service management platform designed for restaurants, bars, cafés, hotels, resorts, apartments, stadiums, arenas, eco parks, conference centers, festivals, concerts, events, entertainment venues, and other hospitality businesses. It enables customers to browse digital menus, place orders, request services, make digital payments, and receive order updates, and allows Vendors to manage operations through a centralized dashboard.

2. Information We Collect

A. Customer Information. Depending on how you use Bookello Pulse, we may collect:

  • Phone number and email address (where provided)
  • Order information and order history
  • Service requests and payment status
  • Delivery or pickup verification codes
  • Location information (room, apartment, table, seat, section, zone, or venue)
  • Device, browser, and IP address information
  • Language preferences
  • Customer feedback and reviews

B. Vendor Information. To register and support Vendors, we may collect:

  • Business name and registration information
  • Tax Identification Number (TIN), where applicable
  • Authorized representative’s name and contact information
  • Business address
  • Settlement bank account and Mobile Money details, where applicable
  • Payment partner account information
  • Business logo and branding materials, where provided
  • Menu, product, service, pricing, and inventory information
  • Operating hours
  • Sales and transaction records generated through Bookello Pulse

C. Transaction Information. Order ID, transaction ID, payment status, amount, currency, payment method, invoice information, commission records, refund information, transaction date/time, and payment reference numbers.

D. Operational Information. Kitchen/bar order status, waiter/delivery/pickup assignments, verification records, preparation and completion times, vendor performance metrics, inventory movement, sales reports, platform activity logs, and system diagnostic information. The information we collect may vary depending on how you use Bookello Pulse.

3. How We Use Your Information

We use information to:

  • Process customer orders and deliver products and services
  • Route orders to the correct Vendor and manage assignments
  • Verify deliveries and pickups
  • Process and confirm payments, generate invoices, and calculate platform commissions
  • Generate business reports and analytics
  • Manage Vendor accounts
  • Improve customer experience and platform performance
  • Prevent fraud and unauthorized activity and monitor platform security
  • Respond to support requests and communicate service updates
  • Comply with legal and regulatory obligations

4. Payment Processing

Bookello Pulse integrates with approved payment providers, including UrubutoPay and other authorized payment partners, who are responsible for securely processing payment transactions. Bookello may receive transaction information necessary to confirm payments, generate receipts, route orders, calculate commissions, generate reports, and resolve disputes.

Bookello does not store customers’ complete payment card information and does not sell payment information to third parties. Payment processing fees charged by payment partners, including the applicable 4% UrubutoPay transaction processing fee, are governed by the agreements between the Vendor, Bookello.life Ltd, and the payment partner.

5. How We Share Information

We may share information only where necessary with:

  • Vendors — to fulfill customer orders and provide requested services.
  • Payment Partners — to process payments, verify transactions, settle funds, prevent fraud, and comply with financial regulations.
  • Service Providers — cloud hosting, technical support, SMS/email, customer communication, data storage, analytics, monitoring, and security services.
  • Government Authorities — where disclosure is required by law, court order, legal process, or regulatory requirement.
  • Business Transfers — in a merger, acquisition, restructuring, financing, or sale of assets, subject to applicable laws.

Bookello does not sell or rent users’ personal information to third parties.

6. Data Security

Bookello implements reasonable administrative, technical, and organizational safeguards to protect information from unauthorized access, loss, theft, misuse, alteration, disclosure, and destruction. Measures may include encrypted communications, password protection, role-based access controls, multi-level permissions, secure authentication, activity logs, audit trails, continuous monitoring, regular software updates, and backups. No internet-based service can guarantee absolute security.

7. Data Retention

Bookello retains information only for as long as necessary to operate the platform, process transactions, provide support, maintain financial and accounting records, resolve disputes, meet legal obligations, and improve services. When information is no longer required, it may be securely deleted, anonymized, or archived where required by law.

8. Your Privacy Rights

Subject to applicable law, you may request to:

  • Access your personal information
  • Correct inaccurate information and update your account details
  • Delete your personal information where legally permitted
  • Restrict certain processing activities
  • Withdraw consent where applicable
  • Receive a copy of your personal information where legally required

Identity verification may be required before processing requests.

9. Cookies and Analytics

Bookello Pulse may use cookies and similar technologies to maintain secure login sessions, remember user preferences, improve platform functionality, analyze usage, measure performance, and improve customer experience. Users may manage cookies through their browser settings, although some features may not function properly if cookies are disabled.

10. Marketing Communications

Bookello may send order confirmations, payment notifications, service updates, security alerts, platform announcements, promotional offers, and product updates. Users may opt out of promotional communications at any time. Service-related notifications necessary for the operation of Bookello Pulse may still be sent.

11. Children’s Privacy

Bookello Pulse is not intended for children under the minimum age permitted by applicable law. We do not knowingly collect personal information from children without appropriate authorization.

12. International Data Transfers

Bookello may use cloud service providers located in different countries. Where information is transferred internationally, Bookello will take reasonable steps to ensure appropriate safeguards are implemented to protect personal information.

13. Third-Party Services

Bookello Pulse may integrate with third-party services, including payment providers, mapping services, communication providers, analytics tools, cloud infrastructure providers, and other technology partners. These third parties operate under their own privacy policies, and Bookello is not responsible for their independent privacy practices.

14. Changes to this Privacy Policy

Bookello may revise this Privacy Policy from time to time. Updated versions will be published on the Bookello Pulse platform and become effective upon publication. Continued use after changes constitutes acceptance of the updated Privacy Policy.
